Food Safety Documentation Development

Building the full documented system your standard requires, from policy through to record templates.

What is food safety documentation development?

Documentation development builds the full documented food safety system your standard requires, from the policy at the top through to the blank record templates your team fills in each day. Everything is written for your operation, never adapted from a generic set, indexed so an auditor can find what they ask for, and version controlled from the first issue.

Complete documentation set, indexed and version controlled, including manual, procedures, work instructions and record templates.

Situations this solves

Who this is for

Food businesses building a documented system for the first time, and established operations whose documentation has drifted far enough that repairing it costs more than rebuilding. It suits businesses without a full time technical function to write and maintain the set.

What the service covers

Food safety policy and management commitment documentation.

The system manual, mapped clause by clause to the standard in scope.

Procedures covering every documented requirement of that standard.

Work instructions for the tasks that need them at the level the operator needs.

Record templates designed to be completed accurately under production conditions.

Document control, including numbering, versioning, approval, issue and withdrawal.

Record retention schedules meeting legal and standard requirements.

A document index mapping every document to the clause it satisfies.

How the work runs

Stages of the work

  • 1

    Scoping

You confirm the standard, the sites, the processes and what documentation already exists and is worth keeping.

  • 2

    Gap mapping

The standard is mapped clause by clause against existing documents, so nothing is rewritten unnecessarily and nothing is missed.

  • 3

    Structure design

The document hierarchy, numbering system and control method are agreed before writing starts, because retrofitting structure is expensive.

  • 4

    Drafting

Documents are written in batches for review, so wording and level of detail are corrected early instead of at the end.

  • 5

    Record templates

Blank records are designed around how the task is performed on the day, so they get completed properly instead of reconstructed later.

  • 6

    Handover

The full set is issued with the index, the control procedure and a walkthrough for the people who will own it.

What is not included

Documentation is developed and handed over. Implementing the system, training your team, and maintaining documents after handover are separate. Hazard analysis and HACCP plan development are also separate services, since they involve technical assessment and not documentation, though the two are frequently commissioned together.

What this service is assessed against

These are the primary sources this work is built on. Where a market you sell into has its own requirement, that takes precedence and we assess against it.

CXC 1-1969, General Principles of Food Hygiene
The international reference for prerequisite programmes and for the seven HACCP principles. Codex Alimentarius
Regulation (EC) No 852/2004 on the hygiene of foodstuffs
The general hygiene requirements and the duty to operate procedures based on HACCP principles. EUR-Lex
ISO 22000:2018, food safety management systems
The management system requirements, including the distinction between operational prerequisite programmes and critical control points. ISO
BRCGS, IFS Food, FSSC 22000 and SQF published requirements
The clause your certification body audits against, which differs between schemes and between issues. BRCGS

What drives the cost

This service is quoted on scope, never sold at a list price, because the same service name covers very different amounts of work. These are the variables that move a quote.

Food Safety Documentation Development questions

Enough to satisfy every documented requirement of your standard and to describe how your operation genuinely runs. Beyond that, more documentation makes the system harder to maintain and easier to contradict. Systems fail audits for having documents nobody follows at least as often as for having too few.

You can, and many businesses do. The difficulty is that a template describes a generic operation, and an auditor compares your documents against what you do. Where the two disagree the document is the finding. Templates work as a starting structure, though the content still has to be rewritten for your process.

Documents are produced in English as standard, and in Bosnian, Croatian and Serbian where needed. For other languages, translation is arranged by you, and it is worth having the translation checked by someone technical, because small mistranslations in a procedure change what it instructs.

It is the system that ensures everyone is working from the current version, that superseded versions are withdrawn, and that changes are approved before issue. It matters because a procedure with no version number and no approval is a document an auditor cannot rely on, regardless of how good its content is.

Longer than most businesses expect. A single site with straightforward processes takes several weeks of drafting and review. Multiple sites, complex processes or a standard with heavy documented requirements take longer. Drafting in batches means you see progress throughout instead of receiving everything at the end.

That is the point of agreeing the structure first. A system with a clear hierarchy, consistent numbering and a simple control procedure can be maintained by someone who did not write it. The handover covers how to add, revise and withdraw documents so the set does not drift again.

Who carries out this work

Confi Food assigns work by subject. HACCP, labelling, certification standards, regulatory compliance, supplier assurance and monitoring are separate disciplines, and each piece goes to someone who works in that area. Every deliverable is reviewed internally by a second specialist before it reaches you.

Our technical positions are built from primary sources, meaning the legislation, the competent authority, Codex Alimentarius, the certification scheme owner or the relevant standards body. We set out how that works in our technical review and editorial policy, and what happens at each stage of an engagement in how Confi Food works.
